Kwik Trip, Inc.’s Human Resources Department is seeking a Leave of Absence Administrator. The primary responsibility of this coworker is to administer and process all federal, state and company offered leaves of absence while ensuring compliance with state and federal regulations, company policy and mission statement. 


Responsibilities include but are not limited to:

  • Review all leave requests and/or extensions and any accompanying medical documentation to determine eligibility for requested leave or any other related leave
  • Communicate with leaders to ensure approval, discuss options and coordinate coworker’s return to work
  • Process leaves and prepare letters notifying coworkers of their qualified leave/extension and/or of any additional required documentation
  • Interpret regulations and policies as it relates to FMLA, ADA and other applicable laws and regulations regarding extended leaves of absence, employee relations concerns and/or medical separations of employment
  • Run various reports regarding leave of absence information
  • Update leave of absence policies if any revisions are brought forth or changes in regulations are made
  • Provide training to department leaders and/or HR functional groups as needed



  • Associate degree and/or minimum of three years related experience, working closely with FMLA and WFMLA.
  • Working knowledge of ADA, FMLA, state leave laws and relevant case law.
  • Experience working in an environment where confidentiality is required.
  • Proficient in Microsoft Office to run reports and perform mail merges.
  • Knowledge of medical terminology.
  • Ability to work independently with minimal supervision, managing time effectively and meeting deadlines yet understanding when the supervisor needs to be involved.
  • Skilled to communicate professionally, effectively and calmly with all parties involved in LOA requests and accommodation requests.
  • Ability to collect, analyze, and interpret data from various sources to solve problems which require a professional level of knowledge in a specialized field.
  • Ability to frequently communicate with coworkers and supervisors, applying interpersonal skills.
  • Ability to communicate either verbally or in writing while always keeping our mission statement in mind.
  • Ability to continually research laws and processes to stay up to date on changing legislation and ensure that all policies and procedures comply.


Preferred qualifications include:

  • Experience working with ADA.
  • Knowledge of Kronos, OnBase and ServiceNow


Work Schedule:  Monday through Friday, daytime hours.
